Auditing and Advisoring

Needs 

The objective of the Venice Port Authority was to rationalize internal procedures to improve efficiency; one of the means of reaching this end was to refurbish the IT systems through various phases of analysis and implementation.

The initial phase was to carry out an audit of the IT system in order to attain a census of all the software used/available to operators, the mapping of each of these on company processes, and the defining of specifications and functions of their future management tools.

During the second phase of the reorganization, the Authority chose to carrying out an advisory on the IT flow and relative IT needs in order to identify software solutions (whether customized or standard) that would meet company needs.

Solution 

The Audit phase consisted of a series of interviews with users through a personalized data sheet. Following the elaboration and reclassification of the data, a synthesis of the anomalies and the relative solutions proposed was developed. Contemporarily, a software application called “Application Portfolio” was developed to manage and map the information concerning the available applications/systems on company business procedures. This enabled the management of the data collected during the audit phase while paying particular attention to the updating and extraction of analytical reports.

During the second phase, the criticalities identified were analyzed in detail by means of the advisory of information flows and the relative IT needs. These activities were consolidated into the analysis of significant client procedures in order to plan a solution that would allow the creation of a workflow system to automate procedures, together with other improvements made to the company IT system.

The advisory phase called for the organization of a Client Technical Committee consisting of the Project Leader and Directors to support Venicecom analysts in the detailed planning of the environments. Through the programming of joint, periodic meetings, the analysts presented the advancement of the activities in order to present the work carried out and to allow the client to make strategic decisions upon the occurrence of scenarios other than those foreseen.
